Group Reservation Coordinator – Temporary/Part-time (28 hours per week)

The USS Midway’s Youth Programs department is seeking a Group Reservations Coordinator for a six-month part-time assignment.
Reports to: Youth and Leadership Programs Manager
Status: Temporary, part-time, non-exempt, approximately 6-month assignment
Schedule: 28 hours per week, Onsite
Pay Rate: $21.00 per hour.
Position Summary
The Reservations Coordinator performs complex group reservation duties to facilitate youth program events aboard the aircraft carrier. Provides extensive assistance to school and youth group leaders, which includes detailed planning, a flow of communication, and follow-up. Provides personal and technical customer service.

· Excellent customer service, ensuring group guests have a positive experience by effectively communicating and addressing their needs and concerns promptly and professionally.
· Detailed and accurate records of reservations, contracts, purchase orders, and payments.
· Materials and supplies for programs are stocked and prepared.
Summary Of Job Responsibilities
· Create and maintain accounts with details for group reservations for Youth and Leadership Program reservations.
· Coordinate payment arrangements, including deposits, monies owed, and credit card payment processing, and coordinate refunds.
· Sends and collects group contracts, certifications of insurance, and finalized rosters.
· Communicate electronically and telephonically with groups to collect information, answer questions, and provide pre- and post-visit information.
· Supports youth and leadership program events with material and supply inventory, setup, and program delivery.
· All other duties, as assigned.
Knowledge, Skills, and Abilities Required
Education/Experience
· High School Diploma
· One year of customer service experience.
· Prior experience working in educational tours and program reservations preferred.
Skills/Abilities
· Proficiency in MS Office Excel, PowerPoint, Word, Teams, and/or Zoom.
· High degree of accuracy and attention to detail
· Excellent customer service skills
· Excellent administrative, written, and verbal communications skills
· Ability to work in a self-initiating business environment.
· Team player – ready and willing to help wherever needed or assigned.
Working Conditions
Job Conditions/Work Location: Work is performed aboard the USS Midway in former administrative offices restored to basic working conditions.
Physical Requirements: Sit or stand for long periods of time. Ability to climb up and down stairs and ladders; to bend, stoop, and lift standard office supplies and small office items.
Equipment Operated: Computer, printers, radio, telephone, copier, and scanner.
